Payment, cancellation & refund terms

These terms are intended to ensure the financial viability of Easter Camp, now and in future, and to deal fairly with campers, their parents and church communities in the event of unforeseen cancellation, either by the camper or by Easter Camp itself. These same terms are referenced in the ticket registration form and must be accepted and approved by the parent/guardian or adult purchasing the ticket.

Payment

Both payment must be received in full and registration approval must received before a camper or crew member is officially able to attend Easter Camp. Camp ticket prices are set out on the register page.


A receipt will be sent via mail once an order has been placed for tickets and/or merchandise. Tickets will be emailed within a week of the close of the relevant current cut-off period, and again one week out from camp.


When purchasing a ticket, a user inherently agrees that they will be adding to the Easter Camp mailing list to ensure correct delivery of the ticket via email, along with important communications about the event. They may unsubscribe from these communications at any time.

Cancellation by camper

If a registrant, whether camper, leader, worker or crew member, cancels their registration ahead of camp, a $85 pull-out fee applies, irrespective of the cut-off period or the reason for cancellation. Note: registrations for children are exempt from the pull-out fee.


No refunds will be given for any cancellation notified after the regular fee cutoff date and time, being 10pm Sunday 10 March 2024.


No refund will be given for cancellation or withdrawal during a camp unless a medical certificate can be provided or unless the camper was discharged by our medical team (in which case the camper may then be refunded any monies paid less the $85 pull-out fee).

No refund will be given for withdrawal from camp due to breach of the camp rules, or due to any incident involving unlawful, illegal, violent or discriminatory behaviour. Any processing or credit card transaction fees paid are not included in the refund. A refund can only be sent to the original payment method and may take up to 10 business days to be credited to your card after the approval.

Cancellation by group

If a group pulls out of camp, a $85 pull-out fee applies for each registrant, irrespective of the cut-off period or the reason for cancellation. No refunds will be given for any group cancellation notified after the regular fee cutoff date and time, being 10pm Sunday 10 March 2024.

Cancellation by Easter Camp

If, at any time prior to Easter Camp, it is necessary to cancel or abandon camp for reasons outside of our control (for example, but not limited to; natural disaster, pandemic, disruption to essential supplies, or Government or local authority decree), the following terms will apply to fees paid or payable by individual campers:

a. Fees will be retained to pay costs already committed or paid, or which will inevitably be required to be paid for the supply of goods or services for which Easter Camp is liable;

b. Any funds in excess of the amounts necessary for Easter Camp to discharge its committed financial obligations will be returned to the person who made the payment either directly or on behalf of the individual camper;

c. Easter Camp has the discretion to make fair and reasonable estimates of its fixed and committed costs in calculating a refund, if any;

d. No refund is payable if cancellation or abandonment becomes necessary after camp has commenced, from 3pm on the Thursday before Good Friday, or at any time during camp;

e. Easter Camp will use its best endeavours to provide a refund in accordance with these terms as soon as practicable, but no time frame is specified;

f. These terms are also applicable to parents/caregivers, are outlined on the Easter Camp website and referenced in the individual registration forms.

Injury

Easter Camp runs activities which carry a risk of injury if carried out without due care or in disregard of instructions - whilst all practicable steps will be taken to ensure your safety, Easter Camp accepts no liability for loss, injury or damage to your property or person, whether arising through our negligence or otherwise.
